O’Brien Plumbing North Wollongong is looking for a motivated and organised Office Administrator / Job Coordinator to join our growing team. This is not a boring “sit at a desk and do data entry all day” role. You will be right in the middle of a fast-paced plumbing business, helping coordinate jobs, support customers, assist our plumbers in the field, keep records accurate, and make sure the day runs smoothly. What You’ll Be Doing Your role will include: - Answering phone calls and responding to customer emails
- Booking and scheduling plumbing jobs
- Communicating job details clearly with customers and plumbers
- Updating job notes, customer details, job sheets, and records
- Using Simpro to manage jobs, scheduling, quotes, invoices, and job progress
- Processing customer payments
- Assisting with ordering and tracking plumbing materials
- Helping prepare quotes, invoices, reports, and job documentation
- Maintaining compliance documents, safety records, and licences
- Supporting management with day-to-day administration
- Helping keep the office organised and running smoothly
What We’re Looking For We are looking for someone who: - Has excellent communication and customer service skills
- Is organised and can manage a busy workload
- Has strong attention to detail
- Can follow systems and keep accurate records
- Is confident using Microsoft Office, including Word, Excel, and Outlook
- Can work independently but also enjoys being part of a team
- Stays calm under pressure and can help solve problems
- Takes pride in doing things properly
- Has a positive attitude and is willing to learn
Experience That Would Help The following would be highly regarded but is not essential:
- Previous experience in a trade, plumbing, construction, maintenance, or service business
- Experience using Simpro or similar job management software
- Experience with scheduling field staff or technicians
- Basic accounts, invoicing, or payment processing experience
